The Project

When Aciron partners with business owners, great things happen. This specific project highlights who we are as a company and how we take efficiency to the next level. Our client originally came to us for two reasons. One, they were using numerous applications in their workflow and two, they needed advice on how technology could have a better impact on their organization.

The solution involved consolidating, updating, and replacing a variety of technology platforms being used. It would have been a huge undertaking and seemed daunting for the client to do themselves. Continue reading to learn more about how the consultants at Aciron tackled the challenge!

Case study for custom software development for birth workers

As an educational community for childbirth professionals, our client hosts workshops internationally. Their target audience includes midwives, doctors, doulas, etc. all looking to learn more and support maternal health. In order to create, schedule and plan these trainings, they were using countless systems for scheduling, registration, payments, and reporting. Due to lack of integration, the process was tedious and complicated. As a result, roadblocks came up in their workflow causing miscommunication and loss of business opportunities.

The first step for us was to understand and evaluate what exactly needed fixing. We thought to ourselves, what is a high impact area that we could revamp and as a result have increased efficiency? Aciron kicked off the project with a thorough understanding of the business processes and technology systems being used. The goal was to consolidate all communications between administrators, attendees, and make the process of creating and running a workshop more streamlined.

In a series of brainstorming sessions with the client, the Aciron team created a swim-lane diagram to depict the entire business workflow. The first step was to create the “as is” flow which documented the current state of the client’s process. We then over laid the “to be” workflow to show how the pain points and gaps could be handled. The client loved the recommendations made by the Aciron team and we quickly came to a conclusion that because of the unique nature of the business, a custom application needed to be developed to satisfy all of their needs.

The Project

One of Aciron's biggest strengths is the diversity of clients and industries we serve. When a non-profit dedicated to animal protection approached us, we were thrilled. Since we are all animal and pet lovers at heart, we knew we couldn't pass it up. With a lot of data sets on their hands, the client was looking for someone to help them make sense of it. Our consultants worked with this non-profit to create a combined database and custom software platform to access the data. Even though the application is in constant improvement, the solution wasn't always clear from the start.

Aciron's Solution

This is where Aciron comes in. After hearing these requirements, we knew we had the resources to make their lives easier. We first began by understanding the legacy systems in place. How was the data being stored? What categories did they fall under? Is there a way to determine if one person was listed in multiple databases? After analyzing everything, we began to create a dashboard so that the client could perform custom searches against a single database that included results from all the underlying databases. The process involved choosing what fields would be added (name, location, donation amount, etc.) and assigning a unique identity to each customer to correspond with their profile.  

The final goal was to have a 360-degree view of all the relationships, past and present. The software we created provides that for the client. Overall, collaborating with this non-profit has been satisfying and rewarding. We are looking forward to seeing how this application is going to help with their mission and become an integral part of their customer relationship strategy. Aciron also hopes to work with more nonprofits in the animal welfare and veterinary industry.

As part of its training efforts, they provided extensive orientation and skill development sessions. The company has thousands of volunteers and only in-person training sessions. Thus, these medical professionals needed a custom software solution.

Solution

Aciron developed a custom online orientation system that enabled the client to create and deliver training courses to volunteers. Additionally, the system can track volunteer training progress, deliver training assessments, produce reports, and administer certificates for course completion.

The UI is a user-friendly registration form on the client’s website. The system allows the volunteers to access the organization’s online orientation and provides automatic notifications of course registration.

The professional system provides volunteers access to the orientation courses anytime with internet, and they have since eliminated in-person classroom training. Since implementing the system, the client has seen an increase in engagement. Aciron continues to work with the client to plan future phases of the project, and we plan to further enhance and expand the system.

Our approach

Aciron met with the client to better understand their needs and gain an understanding of their current processes for managing the studies. Aciron then documented the requirements and created a story board to demonstrate the flow of the application. Once the solution was developed, Aciron held user acceptance testing (UAT) sessions.

During the UAT sessions, the client provided feedback which Aciron incorporated while finalizing the system. Over the course of several brainstorming sessions, the team arrived at an end-to-end scheduling and management system.
