Case Study: Custom Experience Management System
The marketing department of a leading international intellectual property law firm initiated an effort to build a custom experience management system. This system would track and consolidate all of the firm’s cases and related data into one centralized location. The existing system they were using had limited search capabilities and made finding relevant cases extremely time-consuming.
With the volume of cases being handled increasing each year, it was very difficult to organize and keep track of all pertinent matters. As a result, the marketing department realized the need for a system that would track and provide complete visibility into the firm’s cases. Therefore, the firm contacted Aciron to develop an experience management system by customizing the firm’s existing Microsoft SharePoint 2013 platform.
How We Added Value:
Aciron worked collaboratively with the client to analyze their requirements, goals, and vision for the experience management system. Aciron performed a thorough current state assessment and conducted requirements gathering interviews with key stakeholders. As a result, Aciron consultants were able to develop a sound strategy and solid roadmap for the initiative. The firm initially wanted to use Microsoft SharePoint as the platform for the experience management system. However, after the requirement gathering session, Aciron and the client decided a custom .NET solution would be a better solution.
Then, Aciron prepared storyboard presentations and process flow diagrams to demonstrate the flow and visual appearance of the application. Aciron maintained open lines of communication with the client throughout this process. As a result, Aciron provided regular status updates and incorporated client feedback into the project.
Development and testing of the custom application proceeded, implementing the agreed-upon functionality and design. A group of the key stakeholders and end users then participated in user acceptance testing (“UAT”). Thus, allowing the client to provide feedback on the system. Aciron then made final adjustments that optimized the user experience.

The user-friendly and intuitive solution allows the client to track and manage case records, case activities, and clients. Additionally, it gives the marketing department the visibility they need into the firm’s successes. The experience management system includes updated features, functionality, and design elements that allow the client to easily add and manage the firm’s case records and information, such as:
- Ability to generate custom reports
- Advanced Search Functionality
- Case categorization by type in order to more easily monitor significant activities
- Ability to update case activities, summaries, and important notes to consistently monitor progress
- Ability to track cases from origin to end, along with any parallel matters
- Integrated active directory to associate firm attorneys with cases
- Customized views that improve the user experience for each role
The system was developed to be scalable and flexible, such that it will enjoy long-term, sustainable success. Aciron will continue to work on system enhancements and additional functionality that will provide further value to the firm.
