Improving Collaboration + Information Management Across Various Partner Sites

Case Study:

Background:

An integrated healthcare delivery network in Boston that partners with a major Boston hospital, medical school, and local community health centers was seeking to establish a common SharePoint site for the network. With busy providers spread across the city, the network was experiencing a lack of knowledge sharing. This included communication, collaboration, and sharing information/best practices across the network. With most communication, sharing, and scheduling being arranged via email, the network also found its current methods to be inefficient. The client realized they needed a new way to share data files, manage projects, prioritize workflows, and manage shared schedules. As a result, the client contacted Aciron to design and develop a custom SharePoint portal. This portal would facilitate enhanced communication, collaboration, and information sharing among its network of health centers and the parent hospital.

How We Added Value:

Aciron conducted a requirements gathering phase to define the client’s requirements and strategic direction for the SharePoint portal. As part of the process, Aciron conducted requirements-gathering interviews with key stakeholders. This allowed Aciron to understand the network’s current process and specific pain points, as well as its desired features for the new platform. In addition, Aciron performed a thorough assessment of the firm’s existing SharePoint intranet. Therefore, examining how to best configure and customize the system to develop the project management solution.

Aciron developed a set of story-board slides/screen mock-ups. These documents were regularly reviewed with the client so Aciron could incorporate the client’s feedback.

Aciron followed an agile, flexible approach to the configuration of the SharePoint system. Thus, allowing the client to review progress weekly, provide feedback, and make adjustments to it. Aciron delivered complete visibility into the progress of the project by engaging key stakeholders and provided regular status updates.

Results:

Aciron configured and implemented a custom SharePoint intranet with various extranet capabilities. The new system allowed both internal users and external partners to access the system securely. Designed according to the specific requirements of the client, Aciron configured the system so the network administrators, the parent hospital, and the local community health centers can efficiently and effectively share information. As a result, all parties can communicate, collaborate, share schedules, and access necessary information in one central location.

The new SharePoint portal provides the client with the following features:

  • Shared calendar for easy scheduling and enhanced visibility into events across the network
  • Comprehensive document management features allowing users to add, manage, and share important documents in one secure, easily accessible location
  • A user-friendly link and resource library for convenient information sharing
  • A “How Do I?” wiki library for easy knowledge guide creation and viewing
  • An integrated contact directory

Utilizing SharePoint’s comprehensive built-in security capabilities, Aciron implemented advanced security features to protect the client’s data and information. In addition, Aciron designed the portal to be user-friendly and intuitive, such that all end-user groups can effectively and efficiently navigate and use the system.
