Case Study: Online Orientation/ Training Portal
A Medical Reserve Corps that provides public health volunteer medical services is responsible for recruiting, training, and organizing thousands of medical and public health volunteers. As part of its training efforts, the organization provides extensive orientation, training, and skills development sessions. However, the company has thousands of volunteers and only in-person training sessions. At the time, Microsoft Excel spreadsheets were used to track registrations and manage volunteer attendance. Therefore, the organization’s training efforts were inefficient and difficult to track and manage. The company contacted Aciron to help improve their processes through a custom online system.
How We Added Value:
Aciron worked collaboratively with the client to gather and analyze the organization’s key business and technical requirements. Aciron used these sessions to gather a strategic direction for the online orientation system. After analyzing the organization’s existing IT investments and environment, Aciron had a solid understanding of the unique needs and goals of the client.
Aciron then created a project plan to design, develop, and implement a custom online orientation system to meet the client’s unique needs. Throughout the project, Aciron placed a strong emphasis on open communication and collaboration. The client provided feedback on all the documents we presented to them. Thus, it facilitated honest and open communication.
Aciron was hired to develop a custom online orientation system. Therefore, enabling the client to create and deliver custom online training courses to volunteers. In addition, the system is able to track volunteer training progress, deliver training assessments to volunteers, produce reports, and deliver certificates for successful course completion.
The system allows volunteers to register for online courses through a user-friendly custom registration form on the client’s website. Also, the system allows the registered volunteer to access and participate in the organization’s online orientation course. Furthermore, the system provides the client with automatic notifications of volunteers’ course registration.
The professional system provides volunteers access to the online orientation courses anytime, anywhere with internet access. Thus, eliminating in-person classroom training. Since implementing the system, the client has seen a significant increase in volunteer participation and engagement. Aciron continues to work with the client to plan future phases of the project to further enhance and expand the system.
